ASDC Office & Projects Administrator
£26,000 pro rata
ASDC is looking for an exceptional individual to appoint to the varied role of ASDC Office and Projects Administrator. You will become an integral part of our team, supporting our inspirational national network of Science and Discovery Centres.
ASDC is an educational charity based in Bristol. We are a vibrant national membership organisation that brings together the leading informal science engagement organisations, including the major science centres and museums. Every year our members work to encourage wider participation in science, engaging with over 25 million people of all ages, genders, backgrounds and abilities across the UK.
We have an active Board of Trustees, and a vision for a society where people are intrigued, inspired and involved with the sciences. To achieve this, we work in close partnership with staff at all levels in our member science and discovery centres and museums. We also promote close collaboration and connection across the wider science education and engagement ecosystem, working with various stakeholders such as charitable trusts, research councils, Government departments, industrial partners, wider networks, youth and community partners and charities across the UK.
Your main duties will include:
Operational and organisational support
Assist the CEO with the governance of the charity (e.g. organisation and minute taking at quarterly Board meetings and the AGM)
Manage the ASDC database, keeping this up-to-date for all events, meetings and our membership
Day-to-day updating of the website (training will be given) and other communication platforms
Organising weekly team meetings and team socials
Work with the Digital and Communications Manager to effectively and creatively promote our events across various channels
Lead on event logistics (e.g. ticket sales through Eventbrite, venue hire, event catering etc)
Support across the delivery of the ASDC National Conference (this year to be held online, 24th-25th November 2021) including:
The organisation of exhibitors and sponsors
Liaising with session leaders
Organisation and liaison with IT support for this online event
Ongoing communication with delegates and speakers
Assist with the successful development and delivery of our National Projects, working closely with the Project Manager and Project Director. This includes, but is not limited to:
Drafting and/or proofing documentation
Event coordination for training academies and other project meetings
Organisation of kick off or project board meetings with funders
Support with the appropriate dissemination of project findings
General office management and administration
Organising the post and filing
Managing office contractors
Ordering of supplies including stationery and equipment
Finalising formatting and proofing documents for the CEO and Project Manager
Supporting travel and subsistence arrangements
Assist with expenses, bank statements and credit cards for the organisation
Work closely with our external finance director and bookkeeper to ensure they have expenses, invoices and payments, timesheets and financial queries in the required time and format
Essential Skills and Experience
Excellent organisational skills and attention to detail
Ability to be proactive, multi-task, and embrace change
The ability to accurately proof-read documents and write engaging, concise content for a variety of platforms
Excellent interpersonal and communication skills (both verbal and in writing), with the confidence to represent ASDC in a variety of settings to different stakeholders and at a senior level
An ability to write engaging, concise content for a variety of platforms (e.g. web content and professional reports)
Highly IT literate with the ability to fully utilise technology, online platforms and social media (in particular MSOffice - Word, Excel, PowerPoint, Microsoft Teams, Zoom, Eventbrite)
Previous experience working in a similar role
Desirable Skills and Experience
Experience of financial software (e.g. Sage or Xero)
Experience of online collaborative platforms such as Basecamp, Google docs, Slack
Experience of online tools for interactive meetings such as Mentimeter, Padlet, Mural (etc)
Experience of using social media for business use (Facebook, Twitter, LinkedIn)
An interest and value of ASDC’s vision to widen participation in science across the UK
Previous experience working for a membership organisation.
We are looking for someone who is highly organised, adaptable and administratively fast. You should be an individual who will enjoy working collaboratively at the heart of a small and fast-paced team. You will need a keen eye for detail, alongside reliability and dedication to the role.
This role would fit well with someone who is confident to try new approaches and who can be proactive to cope with changing circumstances and priorities. Our ideal candidate would have the organisational skills, experience and motivation to not only support, but improve the smooth running and efficiency of ASDC.

This can be a full-time or part-time role depending on the applicant. We recognise the need to offer flexible working hours, and whilst this is a role that requires the candidate to work mostly core hours this could be across 4 or 5 days for example. Please talk to us about your requirements.
We have a lovely light and airy office in central Bristol. This role is predominantly office based, with the option to work from home as and when necessary. Currently all staff are still flexibly working from home and in-office.
